How to set up Microsoft Bookings: personal and shared booking pages
Set up Microsoft Bookings so clients can book time with you or your team online. You will create a personal booking page, a shared booking page with staff and services, custom intake fields, and embed the page on your website.

Scheduling by email means several back-and-forth messages for every appointment and a real risk of double bookings. Many small businesses pay for a separate scheduling tool when Microsoft Bookings already comes with their Microsoft 365 licence and books straight into Outlook calendars.
Microsoft Bookings has two options. A personal booking page is a simple page tied to your own Outlook calendar, good for solo professionals. A shared booking page adds staff members, services, custom fields and more control, which suits teams and businesses.
This guide walks through both, then shows how to embed the page on a website and how to book an appointment for a customer who calls or emails.
What you need
- A Microsoft 365 business plan that includes Bookings (Business Basic or Standard)
- An Outlook calendar with your working hours set
- Staff members in your Microsoft 365 organization, for a shared booking page
- A website where you can add an HTML block, if you want to embed the page

Open Microsoft Bookings
In Outlook on the web, click the app launcher and select Bookings. You will see two options: Personal booking page and Shared booking pages.

Create a meeting type on your personal booking page
Under Personal booking page, select Create meeting type. Add a title, choose a category color and write a description.
Teams meeting is on by default, so every booking gets a Teams link. If you prefer Zoom or another platform, turn it off and paste your own meeting link. Customers then receive that link in their confirmation email. Set the meeting duration.

Set privacy, availability and reminders
Choose Private (only people with the link can book) or Public (the meeting type shows on your booking page).
Availability follows the meeting hours on your Outlook calendar, or you can set custom hours for this meeting. Under the advanced options, set buffer time (the video uses 10 minutes before and after), minimum lead time (1 day) and maximum lead time (30 days). Add an email reminder and, if you want, a follow-up email with your own template. Save.

Test the personal booking page
Copy the link, open it and continue as a guest. Pick a date and time, click Next, and enter a name, email and note. Bookings asks the guest to verify their email with a code, which helps prevent spam bookings. After booking, the guest gets a confirmation email with the meeting link and the event appears in your calendar.
Add more meeting types and they all show on your personal booking page. You can share the link to the whole page or to a single meeting type.

Create a shared booking page
Under Shared booking pages, select Create booking page. Enter a name (you can change it later), add a logo, pick the business type and keep or adjust the business hours. Bookings creates an email address in your organization for the page, and you are not charged for that account.
Click Next, search for and add staff members, then Next again. Keep the default service for now, set who can book to Anyone, and click Create. When it is ready, click Get started.

Add a service
Go to Services and click Add new service. Add a name and description. Turn on Add online meeting if you want a Teams link. Set the duration (the video uses 1 hour) and buffer times (10 minutes before and after).
Under price, you can set a fixed price or leave it free. Bookings cannot take online payments, but you can send a payment link after someone books, or automate that with Power Automate. Under availability options, set the minimum and maximum lead time.

Assign staff to the service
Under Assign staff, pick one or more staff members. You can assign one person, or turn on the option that lets customers choose a particular staff member when they book.

Add custom fields to the booking form
Under Custom fields, you can turn off some default fields and click Add a custom field. In the video I add a Drop-down question called
Business Typewith three options and a Text question calledWebsite URL. Save each field, then turn them on for the service. Custom fields you create can be reused on other services.Under notifications, customize the email reminder and follow-up templates. Save, then delete the default service Bookings created.

Create a second service with a single staff member
Add another service with a 30-minute duration, 5-minute buffers, a fixed price, up to 3 attendees and a 7-day maximum lead time. Assign one staff member and turn off Allow customers to choose a particular staff for booking. Make the customer email required and turn on the custom fields. Save.
On the live page, customers can pick staff for the first service but not the second. When someone books the second service, the assigned staff member gets an email and the appointment is added to their calendar.

Embed the booking page on your website
Go to Booking page, click Embed, choose the iframe option and copy the code. In your website (the video uses a WordPress Custom HTML block), paste the code and preview. Increase the iframe
height(for example1000px) so the full page shows without cramping.To embed just one service, go to Services, copy that service's booking page link and replace the booking page URL in the iframe code with it.

Book an appointment for a customer
For customers who call or email, select the service and choose Book appointment. Pick a date and time, add a new customer, and tick the option to email them the meeting details. Click Create booking. Under Customers you can see everyone who has booked, and under Business information you can rename the page.
Tips and common problems
- Use a personal booking page if you work alone and just need people to book time with you. Use a shared booking page when you need staff, services and custom intake fields.
- If you do not use Teams, turn off the Teams meeting option and paste your Zoom link instead, so customers get the right link in their confirmation.
- Bookings asks guests to verify their email with a code before booking. This helps stop spam bookings.
- Microsoft Bookings cannot collect online payments. Set a price for display, then send a payment link separately or automate it with Power Automate.
- When you embed the page with an iframe, increase the height (around 1000px) or the page will look cramped on your site.
