How to import events from Excel into Outlook or Google Calendar with a CSV file
Turn an Excel list of events into calendar entries in one go. Save the list as a CSV file and import it into Outlook or Google Calendar, and use Google AI Studio to convert a PDF or paper list into CSV first.

Office managers and HR teams often get a year of holidays, trainings or deadlines as a spreadsheet, PDF or printed sheet. Typing each event into Outlook or Google Calendar by hand is slow and easy to get wrong.
Both Outlook and Google Calendar can import events from a CSV file. You prepare the events in Excel with the right column headers, save as CSV, and import. All-day events and timed events can sit in the same file.
At the end, the video shows how to handle a list that only exists as a PDF or on paper: upload it to Google AI Studio, ask for CSV-ready output, and save that as a CSV file.
What you need
- Excel to prepare the list and save it as CSV
- The classic Outlook desktop app (for the Outlook import) or a Google account (for Google Calendar)
- Event columns:
Subject,Start DateandEnd Date, plusStart TimeandEnd Timefor timed events - Optional: a Google account for Google AI Studio if your events are in a PDF or on paper

Prepare the events in Excel
Create one row per event with at least the event title (
Subject),Start DateandEnd Date. For events that are not all day, addStart TimeandEnd Time. You can add optional columns such asDescriptionorLocation.Use clear header names. Google Calendar reads the columns by their names, so the headers must match what it expects. Outlook lets you map columns by hand if the names differ. Column order does not matter.
Save the file as CSV (File > Save As, choose the CSV file type).

Import the CSV into Outlook
In classic Outlook, open the calendar. If you want the events in their own calendar, right-click any calendar and choose New Calendar (the video names it
Holidays and Events). This is optional; you can import into your main calendar.Go to File > Open & Export > Import/Export. Choose Import from another program or file and click Next. Select Comma Separated Values and click Next. Click Browse, pick your CSV file and click Next. Select the calendar to import into and click Next.

Check the field mapping in Outlook
Click Map Custom Fields. If your headers are correct, Outlook maps them automatically. If a column is mapped wrongly or not at all, drag the value from the left list onto the correct field on the right. For example, dragging
DescriptionontoLocationwould put descriptions in the location field, so drag it back toDescription.Click OK, then Finish. Open an event to confirm the description came through. The events also appear in Outlook on the web and the Outlook mobile app. Right-click the calendar and use Color to change its color.

Import the CSV into Google Calendar
In Google Calendar, optionally create a new calendar with the plus icon next to Other calendars > Create new calendar.
Click the gear icon > Settings > Import & export. Select your CSV file, choose the calendar under Add to calendar and click Import. Google shows how many events were imported (54 in the video). All-day and timed events both appear, with their descriptions.

Convert a PDF or paper list with Google AI Studio
Neither calendar can import a PDF. If your events are in a PDF, or printed (take a photo), open Google AI Studio with your Google account and create a new prompt. Click the plus icon, choose Upload file and add the PDF or photo.
Use a prompt like:
Extract the holidays from the PDF and give me the data in a format so I can copy them into a CSV file to upload the events in Google Calendar.Click Run, then copy the output. -

Save the AI output as a CSV file and fix commas
Paste the output into a new Notepad file. Click File > Save, name it something like
holidays.csv(the.csvending matters) and save.Open the file to check it. If an event name contains a comma (for example after Durga Puja), the text after the comma shifts into the next column. Remove those commas in Notepad and save again. Delete the time columns if all events are all day. The file is now ready to import into Outlook or Google Calendar.
Tips and common problems
- Google Calendar only understands columns with the expected header names, so name them Subject, Start Date, End Date, Start Time, End Time and Description.
- Leave Start Time and End Time empty (or drop the columns) for all-day events such as holidays.
- A comma inside an event name splits it into two columns in a CSV file. Remove the comma, or wrap the name in double quotes.
- Import into a separate calendar first. If something goes wrong, you can delete that calendar instead of cleaning up your main one.
Questions
Can I import an Excel file directly into Outlook calendar?
Not as an .xlsx file. Save the sheet as CSV first, then use File > Open & Export > Import/Export > Import from another program or file > Comma Separated Values in classic Outlook.
What columns does Google Calendar need in a CSV import?
At minimum Subject and Start Date. Add End Date, Start Time and End Time for timed events, and optional columns such as Description and Location. The header names must match these.
Can I import calendar events from a PDF?
Not directly. Convert the PDF to CSV first. The video uploads the PDF to Google AI Studio, asks for CSV-ready output, and saves it as a .csv file.
Will imported Outlook events show on my phone?
Yes. Events imported into a calendar on your Microsoft 365 account also appear in Outlook on the web and the Outlook mobile app.
