How to schedule a Zoom meeting from Google Calendar and Gmail
Install the Zoom for Google Workspace add-on so Zoom Meeting appears as a video conferencing option in Google Calendar, on the Calendar mobile app and in Gmail replies.

If you use Zoom but live in Google Calendar, scheduling a call means creating the meeting in the Zoom app, copying the link, and pasting it into a calendar invite or email. It is easy to send the wrong link or forget to update the time.
By default Google Calendar only offers Google Meet. After you add the Zoom for Google Workspace add-on and sign in to Zoom, you can pick Zoom Meeting in the event's video conferencing options. The add-on creates the Zoom meeting at the date and time on the event and puts the join details in the invite.
The same add-on works in the Google Calendar phone app and in Gmail, where you can reply to a meeting request with a scheduled Zoom meeting.

Install the Zoom for Google Workspace add-on
Add the Zoom for Google Workspace add-on to your Google account from the Google Workspace Marketplace. After installing, sign in with your Zoom account credentials to connect Zoom to Google Calendar.

Create the event and set the date and time first
In Google Calendar, create a new event and add a title. Choose the date and time before you add video conferencing. The add-on uses this date and time to create the meeting on Zoom.

Choose Zoom Meeting for video conferencing
Open the video conferencing option on the event and select Zoom Meeting instead of Google Meet. The Zoom meeting is created and its details are added to the event.

Add guests and send the invite
Add your guests and click Save. When Google asks whether to send invitation emails, choose to send them. Each guest receives the invite with the date, time and Zoom joining details.

Edit or delete the meeting in Zoom
Open the Zoom desktop app and you will see the scheduled meeting. You can update or delete it from there as well as from Google Calendar.

Add Zoom meetings from your phone
Once the add-on is installed on the web, it also works in the Google Calendar phone app. Create a new event, open the video conferencing option and select Zoom Meeting.

Reply to an email with a Zoom meeting in Gmail
When someone emails asking for a meeting link, click Reply and open Zoom for Google Workspace in Gmail. Enter a topic (it defaults to the email subject), pick the date, time and duration, and set any other Zoom options you need. Click Schedule Meeting. The add-on creates the meeting and replies with the Zoom details.
Tips and common problems
- Set the event date and time before selecting Zoom Meeting, because the add-on creates the Zoom meeting using that time.
- Install the add-on once on the web. It then shows up in the Google Calendar mobile app too.
- Meetings created this way appear in the Zoom app, where you can edit or delete them.
