How to create a Google Calendar appointment scheduling page
Set up a Google Calendar appointment schedule with your available hours, a booking form and reminders, then share the link or embed a booking button or full page on your website.
Jump to a step (9)
Booking a call by email means several messages back and forth to find a time that works. Freelancers and small business owners lose time on it, and clients sometimes give up before a time is agreed.
Google Calendar's appointment schedule turns your free time into a booking page. You set when you are available, how far ahead people can book, buffers and daily limits. Visitors pick a slot, fill in a short form, and get a calendar invite with a Google Meet link.
Once it is ready you can share the link, add a pop-up booking button to your website, or embed the whole booking page inline.
What you need
- A Google account with Google Calendar (some options, such as payments and email reminders, need an eligible paid Google Workspace or Google One plan)
- Your working hours and preferred meeting length
- Access to your website editor if you want to embed the booking page
- A Stripe account, only if you want to take payments

01
Start a new appointment schedule
In Google Calendar, select
Createand thenAppointment schedule. Add a title for the booking page and set the appointment duration. I use30 minutes. -
02
Set your availability
Under
General availability, add your time slots. In the video I add 2:00 PM to 4:30 PM and a second slot of 7:00 PM to 9:00 PM on the same day, then copy those times to all the other days. Then adjust the rest:
Scheduling window: I allow bookings up to 30 days ahead and at least 12 hours before the start, so I have time to prepare.Adjusted availability: set different hours for specific dates. For example, only 7:00 PM to 9:00 PM on January 11. Other dates are not affected.Booked appointment settings: add a buffer between appointments (I use 15 minutes) and a maximum number of bookings per day (I use 3).

Check other calendars for conflicts
Under
Calendars checked for availability, add any other calendars you use. Busy times in those calendars are then blocked from booking. To include Outlook or iCloud calendars, connect them to Google Calendar first (see the linked video below). Pick a color if you like, then selectNext. -
04
Choose the meeting location
Pick the location type:
Google Meet, in-person meeting or phone call. In the video I pick Google Meet. If you prefer Zoom, you can add it with the Zoom integration shown in the linked video below. Add a short description for the booking page. -
05
Set up the booking form
The form includes first name, last name and email by default. Select
Add itemto add a phone number field, and add a custom question (I make mine required) so you can prepare for the meeting.Keep
Require email verificationturned on to block spam bookings. Under payments, you can require payment before booking. At the time of the video Stripe is the only supported payment gateway. You can also add a cancellation policy.Under
Booking confirmations and reminders, the calendar invitation is on by default, so the guest gets an invite with the Google Meet link. I add two email reminders, one day and one hour before. Then selectSave. -
06
Preview and share the booking link
Open the booking page and use the option to see what others see. Visitors pick a date and time and then fill in their details. To share it, select
Shareand copy the link. -
07
Add a booking button to your website
In the share options, choose
Website embedand thenButton popup. Pick a button color, check the preview and copy the code. In your website editor, add an HTML widget where the button should appear (in the video, the top of the sidebar), paste the code and publish. Clicking the button opens the booking page in a pop-up. -
08
Test a booking
Pick a date and time, fill in the form, add a message and select
Book. The guest gets a confirmation email with a Google Meet join button, and the event appears in your Google Calendar. -
09
Embed the full booking page instead
If you want the whole booking page on a page of your site, choose
Inline booking pagein the embed options, copy that code, paste it into an HTML block on a page, and publish.
Tips and common problems
- Leave
Require email verificationon. It stops spam bookings from people who never confirm their email. - Use a buffer and a daily booking limit so you do not end up with back-to-back calls all day.
- Connect every calendar you use under
Calendars checked for availability. Otherwise people can book over appointments that live in another calendar. - Payments work only through Stripe. Leave the payment option off if you do not charge for the meeting.
