How to convert PDF invoices to Excel in one click with Lido

Upload PDF, Word or image invoices to Lido's data extractor and get item details, prices, dates and vendor names in columns you choose, then export everything to Excel.

Who this is for

Finance and admin staff often retype line items from supplier invoices into a spreadsheet one by one. It is slow, error-prone, and gets worse when invoices arrive as scans or handwritten notes.

Lido's data extractor reads each invoice and fills a row for every item. It can suggest columns on its own, or you can set up your own headers, like invoice date and bill from, and it fills those instead.

You can upload several invoices at once, including handwritten ones saved as images, and export the result straight to an Excel file.

  • Invoices as PDF, Word documents or images
  • Excel to open the exported file

  1. 01

    Create a new file

    In Lido, create a new file and rename it, for example Invoice Data.

    Run a first extraction

    Select the Extract data button (or go to Tools > Data extractor), upload one invoice and let Lido process it. Lido creates columns automatically based on what it finds in the invoice.

    Add your own columns

    Adjust the columns to match what you need. Right-click a column, select Insert > Insert column left, and type a header. The video adds Invoice Date and Bill From (the company name).

    When you run the extractor again, it uses your updated columns.

    Upload and process invoices

    Select Extract data, choose Click to upload and pick your invoice. The Extra instructions box is optional. It has a default instruction you can edit, but the video leaves it as is. Select Process all files and close the popup when it finishes.

    Process several invoices at once

    Select Extract data again, select multiple invoice files in the upload window and select Process all files. Every item from every invoice is listed in its own row.

    Try a handwritten invoice

    Upload a handwritten invoice saved as an image, such as a JPG, and process it the same way. In the video, the one item is extracted correctly, and the quantity and price columns stay blank because the invoice does not include them.

    Export to Excel

    Select File > Export values to Excel. The Excel file downloads straight away with all the extracted invoice data in columns.

Tips and common problems

  • Set up your column headers before extracting if you want specific fields like invoice date or vendor name. Lido fills the columns you define.
  • Fields that are not on the invoice stay blank rather than being guessed, as with the handwritten invoice that had no price.
  • Lido accepts PDF, Word documents and images, so scanned or photographed invoices work too.
