How to send a Microsoft Forms confirmation email with Copilot in Power Automate

Build a Power Automate flow with Copilot that emails every customer a confirmation within seconds of submitting your Microsoft Forms form, with a copy to you. You also learn the three things Copilot gets wrong and how to fix each one.

Who this is for

This is for small businesses that take quote requests, bookings, service inquiries or event signups through Microsoft Forms. Forms shows a thank you message after someone submits, but it does not email the customer. So the customer has no record of their request, and you get emails asking if the form went through.

In the video I use a quote request form for a cleaning business. I don't build the flow step by step. I describe it to Copilot in Power Automate in one sentence, then I fix the parts Copilot leaves empty or gets wrong.

What you need

  • A Microsoft 365 account with Power Automate. The flow uses only standard connectors (Microsoft Forms, Office 365 Users and Outlook), so no premium licence is needed.
  • No SharePoint is needed.
  • Copilot in Power Automate (the Create with Copilot option). It needs a work or school account. Personal Microsoft accounts can't use it, and your admin can turn it off.
  • A Microsoft Forms form with a question that asks for the customer's email address, plus any other questions you want in the email, such as full name and service needed.
  • An Outlook mailbox to send the confirmation from.

    Check your form asks for the email address

    My form is called Request a cleaning quote. It asks for the full name, the email address, the service needed and some details. Anyone can fill it in without signing in, so the customer types their own email address in the form. That is the address the confirmation has to go to.

    Describe the flow to Copilot

    In Power Automate, click Create with Copilot. In the box, type your flow in one sentence, for example: When someone submits my Request a cleaning quote form, send a confirmation email to the email address they entered and copy me. Click the send arrow and wait a few seconds for Copilot to answer.

    Review the suggestion and create the flow

    Copilot suggests four steps:

    • When a new response is submitted (Microsoft Forms)
    • Get response details
    • Get my profile
    • Send an email

    Your suggestion may look a little different. Click Keep it and continue, check that the Microsoft Forms, Office 365 Users and Outlook connections are connected, then click Create flow. The flow opens in the designer.

    Select the form in the trigger

    Copilot built the steps but did not finish them. Click the trigger When a new response is submitted. The Form Id is empty, even though you named the form in your sentence. Click Form Id and select your form.

    Select the form in Get response details

    The trigger starts the flow but does not give you the answers. Click the Get response details action, click Form Id and select the same form. The Response Id is already filled in.

    Fix the To field

    Click the Send an email action. Copilot added Responders' Email to the To field. This field is empty when anyone can respond, so the email would have nowhere to go. Remove it, click the To field, click the lightning icon for dynamic content, search for email and select Email address from Get response details.

    Write the subject and body

    For the Subject, type We received your cleaning quote request. In the Body, type Hi, then use the dynamic content icon to add Full name. Type Thank you for your quote request for, add Service needed from dynamic content, and finish with We will send your quote within one business day. Copilot already added you in CC using Get my profile, so you get a copy of every confirmation.

    Set the importance to Normal

    Copilot does not set the importance, so the email arrives marked as low importance. Click Advanced parameters, select Importance and close the list. Click the Importance box and select Normal.

    Rename and save the flow

    Copilot used your whole sentence as the flow name. Click the flow name, rename it to something short such as Quote request confirmation and press Enter. Click Save. Power Automate confirms the flow is ready to go.

    Test the form as a customer

    Open the form in another browser the way a customer sees it. Fill in a name, an email address you can check, a service and some details. Click Submit and wait for the message that your response was submitted.

    Check the confirmation email

    Open Outlook. The confirmation should arrive a few seconds after you submit. Check that it went to the address typed in the form, that you are in CC, that the name and service appear, and that it is not marked as low importance.

Tips and common problems

  • Copilot does not always write the same answer. Your suggested steps may look a little different, so check each one before you save.
  • Copilot leaves the Form Id empty in both the trigger and Get response details, even when you name the form in your sentence. The flow will not work until you select the form in both places.
  • If anyone can respond to your form, Responders' Email is always empty. Use the email address question from Get response details instead.
  • If you skip the Importance setting, the confirmation arrives marked as low importance. Set it to Normal before you save.
  • The confirmation goes to whatever the customer typed. If they make a typo in their email address, they will not get the email, but you still get your copy in CC.
  • Always test with an email address you can check before you share the form with customers.

Questions

Do I need a premium Power Automate licence for this?

No. The flow uses only standard connectors: Microsoft Forms, Office 365 Users and Outlook. It also does not need SharePoint.

Why is Responders' Email empty in my flow?

When anyone can respond without signing in, the form does not collect the email address by itself. Add an email address question to the form and use that answer in the To field.

Will I get a copy of every confirmation?

Yes, if your profile is in the CC field. Copilot adds you there using Get my profile when you ask it to copy you.

Does this work for bookings or event signups too?

Yes. The same flow works for any form that asks for an email address, such as bookings, service inquiries and event signups. Change the subject and body to match your form.

How fast does the customer get the email?

In my test, the confirmation arrived a few seconds after I submitted the form.
