How to sign up for Microsoft 365 business email with your custom domain
Sign up for a Microsoft 365 Business Basic trial, connect your own domain, let Microsoft add the DNS records for you, and create a mailbox like you@yourcompany.com with the license assigned correctly.

Small business owners who send email from a free Gmail or Outlook.com address look less professional, and they have no central control over staff accounts. Setting up business email on your own domain sounds technical, so many people put it off.
The video walks through the whole setup in about six minutes. You create the Microsoft 365 account, which gives you a free yourcompany.onmicrosoft.com address, then add your own domain so users get addresses on it.
The domain in the video is registered with GoDaddy, so Microsoft can sign in to GoDaddy to verify the domain and add the MX, TXT and CNAME records automatically. With another registrar the steps are similar, or you can add the records by hand.

- A business phone number for verification
- A payment method (required even for the one-month free trial)

Choose a Microsoft 365 business plan
Open the Microsoft 365 for business plans page. Prices vary by country. The video uses Microsoft 365 Business Basic, which includes web and mobile Office apps, Outlook and a one-month free trial. Pick Business Standard instead if you need the desktop apps.
Click the free trial link for the plan you want.

Create the account
Enter your email address and click Next. If no Microsoft account exists for it, click Set up account.
Fill in your first name, last name, business phone number, company name, company size and country. Click Next, then Send verification code and enter the code to verify the phone number.

Pick a username and onmicrosoft domain
Choose a username and a short name for your organization. Microsoft creates a free subdomain from it, so your first sign-in address looks like
name@yourcompany.onmicrosoft.com. Keep it short, because you will use it for admin sign-in.Create a password, confirm it and click Next.

Set quantity and start the trial
On Quantity and payment, enter how many users you need (one in the video). Add your payment details and tax information, then click Start trial. Note the username shown on the confirmation page and click Start using Microsoft 365 Business.

Add your custom domain
In the setup window, click Continue, then Set up custom domain. You can skip this and use the onmicrosoft address, but a custom domain is what gives you professional email addresses.
Enter your domain name and click Use this domain. Click Verify. Because the domain is at GoDaddy, Microsoft asks to connect to your GoDaddy account. Click Connect and sign in if asked.

Create your custom email address
Once the domain is verified, enter the first name and username for the new mailbox, for example
you@yourcompany.com. Click Add users and continue. You can add more users later. -

Add the DNS records
To start routing email through Microsoft 365, the domain needs MX, TXT and CNAME records. You can add them yourself in your registrar's DNS settings, or let Microsoft do it.
In the video, Microsoft offers to sign in to GoDaddy and add the records automatically. Select that option, click Add DNS records, then Connect, then Done.

Move the license to the custom domain user
In the Microsoft 365 admin center, open Users > Active users. You now have two users: the onmicrosoft admin account and the new custom domain account.
If you only bought one license, open the onmicrosoft account, go to Licenses and apps, untick Microsoft 365 Business Basic and click Save. That account stays unlicensed but can still sign in to the admin center.

Set a password and sign in
Select the custom domain user and choose Reset password. Untick the option to create the password automatically, type your own, and click Reset password. Sign in at office.com with the new address to use Outlook and the other apps.
Tips and common problems
- Business Basic gives you Outlook, Teams and the web and mobile Office apps, but not the desktop apps. In the video that is fine because desktop Office is already licensed another way.
- The free trial still asks for a payment method. Set a reminder before the trial ends if you do not plan to keep it.
- If your domain is not at GoDaddy, Microsoft shows the MX, TXT and CNAME records for you to add by hand in your registrar's DNS settings.
- The first admin account uses the onmicrosoft domain. If you are short on licenses, remove its license rather than buying an extra one. It can still manage the tenant.
Questions
Can I use my own domain with Microsoft 365 Business Basic?
Yes. Add the domain in the admin setup, verify it, and add the DNS records. Users can then have email addresses on your domain.
What DNS records does Microsoft 365 email need?
An MX record to route email, TXT records for verification and SPF, and CNAME records such as Autodiscover. Microsoft can add them automatically for GoDaddy and some other registrars.
Does Microsoft 365 Business Basic include desktop Word and Excel?
No. Business Basic includes the web and mobile versions. Microsoft 365 Business Standard includes the desktop apps.
Do I need a license for the onmicrosoft.com admin account?
No. An admin account can manage Microsoft 365 without a license. It just will not have a mailbox or apps. In the video the license is moved to the custom domain user.
